    Google Vault

Google Vault is an app that allows users to store and retain their Gmail messages. Touted as an information governance and eDiscovery tool, Vault can be used to retain, hold, search and export data within the Google Workspace. You can use the app for all types of Google-related communication, including Gmail messages, group messages, drive files and Google Voice.

While the app is a good solution for end users, email administrators find it difficult to use when it comes to compliance and/or legal discovery actions.

In order to access Google Vault, users must have a license, which is included with the following plan levels — Business Plus, Enterprise, Enterprise Essentials, G Suite Business and all education editions. Add-on licenses are also available.

Customers can opt for a free 14-day trial of any Google Workspace plan. The cost for Business Plus is $18/user/month; customers must contact Google for pricing on the other plans.

    Pros Cons Cost
    • Good solution for end users
    • Included in many Google Workspace plans
    • Secure data storage
    • Organization-wide searches are complicated and require a number of steps for administrators to complete
    • Since Google Vault stores data in the cloud, organizations cannot control where data is stored, who can see it and how it might be used
    • Might be leaving the decision up to the end users on what will be archived, which can make compliance difficult
Included in the following Google Workspace plans — Business Plus, Enterprise, Enterprise Essentials, G Suite Business and all education editions. Cost for the Business Plus is $18/user/month; additional pricing is available upon request.

    Mimecast

Mimecast’s Enterprise Information Archiving system is a popular choice due to its emphasis on security. Mimecast stores all emails in an AES-encrypted archive, which means users do not have to worry about attackers gaining access to private data. Plus, the system’s spam filtering functionality is so thorough that it sometimes even blocks emails from known senders.

Mimecast makes it easy to quickly retrieve archived emails with the system’s robust search functionality. Mimecast creates triplicate copies of all incoming and outgoing emails, as well, in case a message is ever accidentally deleted or a disaster should occur that would jeopardize a company’s data.

Mimecast pricing is based on the number of employees in an organization rather than the volume of email storage.

    Pros Cons Cost
