The Importance of Compliance for Healthcare Organizations

Patient health comes first, but the record of that care matters almost as much. Every message that touches Protected Health Information (PHI) is discoverable, auditable, and subject to the Health Insurance Portability and Accountability Act (HIPAA). Email is only part of the picture now. Care teams coordinate over text, patients ask questions on Facebook, and staff shares updates on LinkedIn.

Intradyn gives you one place to capture all of it. Our all-in-one medical archive solution retains email, social media, and SMS containing PHI in a tamper-evident archive, so archiving medical records stops being a manual chore and starts being something your team can rely on during an audit.

What Does Record Retention Have to Do With HIPAA?

According to the U.S. Department of Health & Human Services, PHI "transmitted in any form of media, whether electronic, paper, or oral" falls under HIPAA. HIPAA itself sets no medical record retention period; states do that, and requirements vary widely. HIPAA-related documentation, however, must be kept for a minimum of six years.

Documents subject to that six-year rule include, but are not limited to:

  • Notice of privacy practices
  • Employee sanction policies
  • Business Associate Agreements
  • Disaster recovery and contingency plans
  • Authorization of PHI disclosure
  • Information security and privacy policies
